A few weeks ago, I was asked to create an offline archive of company emails, reports, spreadsheets, and project documents stored in Google Workspace. At first, I thought it would be simple. Gmail has a print option, Google Docs can be downloaded as PDF, and Sheets also supports PDF export. But once I started working with hundreds of emails and dozens of files, the process became incredibly time-consuming.

I manually opened emails one by one, clicked Print, selected Save as PDF, and repeated the same steps for every important conversation. The same happened with Google Docs and Sheets. While it works for a handful of files, it becomes nearly impossible when you're dealing with years of business data.

That’s when I started looking for a way to Export Google Workspace to PDF (https://www.drssoftech.com/blog/export-google-workspace-to-pdf/) in bulk. I needed something that could preserve email content, folder structure, attachments, timestamps, and document formatting without requiring hours of manual effort.

After some research, I came across the DRS Softech Google Workspace Backup Tool. What I liked most was that it allowed me to connect directly to my Google Workspace account and export mailbox data into PDF format without downloading each item individually. The software also offered filters for selecting only the required data, which saved a lot of storage space and processing time.

The exported PDFs retained the original email formatting, sender information, dates, and attachments. For compliance and audit purposes, that level of accuracy was important. I was also able to organize the exported files properly for future reference.

If you only have a few emails, the manual method is fine. But if your goal is to archive large volumes of Gmail data or company records, using a dedicated solution makes the process much easier and more reliable.

Has anyone else found a better way to handle large-scale Google Workspace PDF exports?
