Manual SharePoint Migration or Dedicated Software: Which Is Better?

Choosing between a manual process and dedicated migration software depends on the size of the SharePoint environment, the amount of content, and the technical resources available. A small site may be relatively easy to manage, but moving multiple sites with complex permissions and large document libraries requires more preparation.

If your organization needs to migrate SharePoint site to another Tenant, start by assessing the source and destination environments. Review site structures, document volumes, user identities, sharing settings, and customized components. Prepare a migration schedule and decide how the team will validate the transferred content. These steps help reduce surprises during the move.

Manual methods may be suitable for limited transfers, but they can require substantial effort when administrators need to repeat the process across many sites. The SysInfo SharePoint Migration Tool is an alternative to evaluate when a dedicated workflow could simplify the transfer. Before choosing it, confirm supported migration scenarios, permission handling, authentication requirements, and reporting options. A test migration should demonstrate that the solution meets your organization's needs.

Do not treat the completion message as the only measure of success. Check document libraries, open sample files, verify metadata, and confirm that destination users have the expected access. Review custom pages, integrations, and sharing links separately because some components may require additional configuration after migration.

A well-managed SharePoint Tenant to Tenant Migration also includes communication with site owners and employees. Let users know when the transfer will occur, what changes to expect, and where to report access issues. Retain the source content until the destination has been validated and approved.

For IT professionals who have managed cross-tenant projects, what would you recommend for a medium-sized business? Is manual migration practical for a limited number of sites, or does dedicated software make the process easier to manage?

For a medium-sized business, I’d lean heavily toward dedicated software even if it’s just a "limited number" of sites—provided the sites contain complex permissions, workflows, or large document libraries.

I completely agree with your point about "do not treat the completion message as the only measure of success." In my experience, manual migrations often fail during the metadata and version history mapping. While manual might seem cheaper upfront, the IT labor hours spent fixing broken links and lost permissions usually outweigh the licensing cost of a tool like ShareGate or the SysInfo tool you mentioned.

However, if the limited sites are just basic document libraries with simple flat permissions, a PowerShell script or manual migration is perfectly fine. My recommendation: do a test migration on your most complex site. If it takes more than a day to clean up manually, buy the software.
